Job Description
Missions
The Human Resources Assistant is responsible, within the IPAG's administrative and finance department, for the administrative management of all laboratory staff (permanent staff, contract staff, trainees and visitors) under the supervision of the CNRS and the University of Grenoble Alpes (UGA).
Activity
Prepare files for the recruitment and induction of non-permanent staff (from recruitment to the end of their contract).
• Draw up hosting agreements for non-EU foreign staff.
• Inform and advise staff (of all statuses) on their employment status, respond to their enquiries (sick leave, annual leave and CET, workplace accidents, canteen cards, strikes, multiple jobs, part-time work, etc.) and liaise with the HR departments of the sponsoring bodies to follow up on cases.
• As part of the European HRS4R certification, assist and advise managers in defining their recruitment needs (recruitment of contract staff – level, salary, duration, etc.), ensure the dissemination of job profiles and assist with the logistics of interviews (sending out invitations, booking rooms, etc.).
• Draw up internship agreements where necessary, prepare files for the payment of allowances and internship certificates, and manage the placement (from start to finish). Prepare and monitor files for the hosting of visiting researchers.
Update databases and dashboards (for supervisory bodies and within IPAG) and carry out staff reporting activities as required (for the unit's management, supervisory bodies, etc.)
• Keep abreast of regulatory, technical and organisational developments.
• Attend meetings organised by the unit's administrative department or supervisory bodies, be proactive in putting forward suggestions and, where appropriate, provide feedback to line management.
• File and archive HR-related documents.
Your Profil
Skills
Knowledge:
• Familiarity with the legislation and procedures applicable to HR management in a laboratory (concurrent roles, sick leave, holidays, catering, certificates, etc.)
• Proficiency in the HR procedures applied within the Institute's supervisory bodies (CNRS, UGA).
• Knowledge of secretarial and administrative management techniques.
• Good understanding of the functioning and role of public scientific and technological establishments (EPST) and universities.
• Proficiency in English, spoken and written (minimum B1 level).
Skills:
• Knowledge of office software (Excel, email) and HR tools used by the CNRS (Réséda, CANoPE, Agate-Tempo) and/or the UGA (BIPER, DAR, etc.).
• Ability to organise and file HR documents.
• Checking the quality and consistency of data entered.
• Continuously monitoring data specific to the field of HR management.
Personal qualities:
• Understanding and applying confidentiality rules.
• Being responsible, reliable and meticulous.
• Reporting on one's activities and raising the alarm in the event of complex issues.
• Be well-organised in your work and able to manage priorities.
• Enjoy working as part of a team.
• Interpersonal skills: liaising with various contacts, maintaining a professional demeanour and exercising discretion.
Experience: Initial experience in human resources management would be an advantage.
Your Work Environment
The Grenoble Institute of Planetology and Astrophysics (IPAG) is a joint research unit (UMR 5274) under the supervision of the CNRS and the University of Grenoble Alpes (UGA). The laboratory conducts research into topics such as star and planet formation, the study of exoplanets, and the physics of the interstellar medium. It employs around 170 people, including 100 permanent staff (researchers, lecturers, engineers, technicians) and 70 staff on fixed-term contracts (PhD students, researchers and IT staff on fixed-term contracts). The laboratory also hosts several visiting scientists and around 60 interns each year.
The post is attached to the IPAG's administrative and financial department, comprising 10 staff members, including 4 financial managers. The HR Assistant Engineer will join this department under the direct supervision of the Administrative Director and will be required to work closely with the HR departments of the CNRS and UGA.
